Doctoral Committee Requirements & Process

Committee requirements

Most graduate programs require that committee members have Graduate Education Responsibilities (GER) in the field they represent (major field or minor/outside of the major field). Advisors and committee members must also meet college-specific requirements to carry out graduate education responsibilities. Check here to verify faculty have GER in the major field and/or minor/outside of the major field.

Prelim oral examination committee

The doctoral preliminary oral committee must consist of at least four members, including the advisor/s. All members of the committee and the candidate must participate in the preliminary oral examination.

  • At least three members (including the advisor) must be from the student's major field.
  • At least one member must represent a field outside the major.
  • If the student has declared a minor, at least one member must represent the minor field.
  • Members cannot satisfy the requirement with respect to more than one field.

Final oral examination committee

The doctoral final oral committee must consist of at least four members, including the advisor/s. All members of the committee and the candidate must participate in the final oral examination.

  • At least three members (including the advisor) must be from the student’s major field.
  • At least one member must represent a field outside the major.
  • If the student has declared a minor, at least one member must represent the minor field.
  • Members cannot satisfy the requirement with respect to more than one field.
  • Committee is not required to include the same members who served on the prelim oral committee.

Thesis reviewers for final oral examination

A minimum of 2 major field reviewers and 1 minor/outside reviewer are required. In the case of multiple minors, there must be a reviewer for each minor.

  • Advisor/s must serve as reviewers.
  • Every designated reviewer on the doctoral dissertation reviewer’s report must certify that the dissertation is ready for defense before the doctoral final oral examination may take place.

Advisor

  • Must represent the major on the preliminary oral and final oral committees.
  • May serve as chair for the preliminary oral examination.

Co-advisor (if any)

  • May represent the major or the minor/outside field on the preliminary oral and final oral committees.
  • May serve as chair for the preliminary oral examination.

Committee Selection Process

Committee assignments and updates are initiated by the student. Updates to adviser and/or committee should be submitted at least one month prior to any examination to allow time for processing and updates to the record. Committee approval routes to 3 different people for approval before the committee is assigned.

You must select your committee online. Once you have selected your committee an email will be sent to your adviser (chair), the DGS and the CSE grad program coordinator for approval. The AEM grad program coordinator is included in the email chain, but does not have any approving authority. Changes in the examining committee: substitutions on the examining committee may be necessitated by such circumstances as a faculty member's temporary absence on leave from the University. The adviser or the director of graduate studies must request the Graduate School's approval of such substitutions well in advance of the examination. Substitutions for an oral examination that are necessitated by emergency situations must also be approved in advance. In such cases, the adviser should consult with the Graduate School staff before the start of the examination.

Forms

All forms required for the Prelim Oral must be picked up from the Office of Graduate Student Services and Progress (GSSP). The student will receive an email when the forms are ready to be picked up.

Thesis Reviewer forms will be in the student's graduation packet. The Final Oral Exam Report form must be picked up from the Office of Graduate Student Services and Progress (GSSP) in person.
